Medical Clinic Administrator

We are seeking a highly organized and motivated individual to join our team as a Medical Clinic Administrator. The ideal candidate will have excellent administrative and leadership skills to oversee the daily operations of our medical clinic. The Medical Clinic Administrator will be responsible for managing staff, optimizing patient flow, ensuring regulatory compliance, and implementing efficient administrative processes to support the delivery of high-quality patient care.

Responsibilities:

  • Operational Management:
    • Oversee the day-to-day operations of the medical clinic, including patient scheduling, registration, billing, and medical records management.
    • Monitor patient flow and implement strategies to optimize efficiency and minimize wait times.
    • Ensure compliance with regulatory requirements, including HIPAA, OSHA, and other relevant healthcare standards.
  • Staff Management:
    • Recruit, train, and supervise administrative staff, including receptionists, medical billers, and medical records clerks.
    • Conduct performance evaluations and provide ongoing feedback and coaching to staff members.
    • Develop and implement staff schedules to ensure adequate coverage and efficient clinic operations.
  • Financial Management:
    • Manage clinic finances, including budgeting, billing, and revenue cycle management.
    • Monitor accounts receivable and follow up on outstanding payments from patients and insurance companies.
    • Work closely with billing and coding staff to ensure accurate and timely submission of claims.
  • Quality Assurance:
    • Implement quality assurance measures to monitor and improve the delivery of patient care.
    • Conduct regular audits of clinic operations to identify areas for improvement and ensure compliance with best practices and standards.
    • Collaborate with clinical staff to address patient concerns and implement solutions to enhance the patient experience.
  • Vendor and Supplier Management:
    • Evaluate and select vendors for medical supplies, equipment, and services.
    • Negotiate contracts and manage relationships with vendors to ensure cost-effective procurement and timely delivery of goods and services.
  • Communication and Collaboration:
    • Foster a culture of teamwork and collaboration among clinic staff and providers.
    • Serve as the primary point of contact for communication between clinic staff, management, and external stakeholders.
    • Coordinate with other healthcare providers and community organizations to facilitate referrals and patient care coordination.

Qualifications:

  • Bachelor’s degree in healthcare administration, business administration, or related field (Master’s degree preferred).
  • Minimum of 3 years of experience in healthcare administration, preferably in a medical clinic or outpatient setting.
  • Strong leadership and management skills with the ability to effectively motivate and supervise staff.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with patients, staff, and external stakeholders.
  • Proficiency in healthcare billing and coding practices, medical terminology, and electronic health records (EHR) systems.
  • Knowledge of healthcare regulations and compliance requirements, including HIPAA and OSHA.
  • Highly organized with strong attention to detail and the ability to prioritize and multitask in a fast-paced environment.
